Terms and Conditions
Tuition Fees
Tuition fees are invoiced at the time of enrolment and align with the school terms. You can choose to pay the invoice in full or set up a Direct Debit. If you opt for Direct Debit, a £75 charge will be applied to bring your account into credit as well as the cost of lessons for the remainder of the month. This credit ensures you do not fall into a negative balance, as we often teach more lessons in a month than are paid for over a 12 month period. The Direct Debit will then be collected on the 1st of every month. Existing customers must use GoCardless for fee collection in preparation for the upcoming term's lessons, approximately four weeks before the end of the current term. This allows time to notify us if you are not returning. Alternatively, you can pay through our low-cost payment plan of 12 equal installments. If you choose not to use one of the Direct Debit schemes, a £25 admin fee will be charged per term. Fees are collected on the 1st of each calendar month. Our term dates run in parallel with the state school terms published by the local County Council within the DeRosa's location. It is the customer's responsibility to cancel the Direct Debit upon leaving. Refunds for lessons will be processed via your GoCardless account or a stored debit/credit card through our Bank Grade PCI DSS Level 1 Payment Providers, ensuring future refunds can be handled smoothly. Any overpayments due to non-cancellation of your Direct Debit will be refunded, minus a £25 admin fee.
Missed Lessons and Absence
If a pupil is absent:
- Lessons missed will not be refunded
- If you cannot make a lesson we will offer a virtual lesson via zoom
- In certain circumstances we may be able to offer an alternative time if space is available but this is not guaranteed
- A tutor will record a summary of what would of been taught and send to you.
If our teacher is absent, we will either:
- Arrange for an alternative teacher to take the lesson
- Offer a make up lesson at a future date
- Offer a refund
Notice Period
In the event that you want to leave the Academy we will be sorry to see you go. We require a one months notice period, equivalent to 4 weekly lessons. Simply advise us via email, text, phone or in person of your intention to leave. You can leave immediately but only the balance after the 4 lessons have been deducted would be refundable.
First Aid On-Site
Health and safety and first aid is a responsibility we take seriously. Please bring to our attention anything that may give you cause for concern. Please note we may not always have a qualified First Aider on site.
Safeguarding
All teachers are DBS checked. They work within a safeguard policy. Every care is taken to ensure the health and safety of your child whilst on our premises. Derosa Music is only responsible for your child when in a Derosa Music lesson. We are unable to provide any form of supervision before or after the lesson. For this reason, students remain in the care of accompanying adults before and after lessons. Parents / Carers are requested to arrive a few minutes before the lesson starts and a few minutes before the lesson has finished. This ensures a smooth and safe transition between lessons for all students. Please do not leave your children unattended before or after lessons as we do not offer childcare facilities. In cases where you are unavoidably detained (e.g. traffic or emergency) please contact the shop and let us know. We ask parents not to enter a students lesson without prior permission as this can become disruptive for both teacher and pupil. This may also cause safeguarding issues in the case of group/band lessons.
Force Majure
In the event of bad/severe or extreme weather conditions (hot or cold) or any other external factors beyond our control:
If we feel it is necessary to close the school due to bad/severe weather conditions and/or for the safety of all pupils, teachers & staff, we will offer an alternative lesson in the holidays or lessons via Zoom. By the nature of this decision we are unlikely to be able to make this decision in advance of the day it may occur.
If you are unable to make this alternative lesson, unfortunately we are unable to refund or credit the lesson.
The same condition will apply where there are any other circumstances that we could not have foreseen & are beyond our control.
Music Exams
Face to Face Exams
All of the examining bodies we use offer universally recognised qualifications. Exam boards have 3 examining period each year held in Spring, Summer and Autumn. The exact dates in each period vary slightly each year but offer a window to take exams of around 5 weeks. We often act as an external venue for Rockschool and Trinity exams. ABRSM are usually held at a local venue – The St Barnabus Centre in Thorley usually but you pick any venue offered during the booking and payment process online.
Remote Exams
Due to COVID19 a lot of face to face exams had to be cancelled. This has resulted in each examining board having to find an alternative. At the moment this is a recorded exam which is sent to the board to be marked. We believe there will be live virtual exams will be possible in the future and will keep an eye on each exam board.

LCM - London College of Music
Established in 1877, the London College of Music Examinations (LCME) is the longest-established exam board for the creative arts in the UK and the only one that is part of a leading British university, the University of West London.

We exist to promote and foster the best possible communicative and performance skills through assessment, content and training which is innovative, personal and authentic. The Process Booking an Exam
You will need to book an exam online yourself once you or the student are prepared by the teacher. By booking independently on the relevant exam boards website, you can choose the best date for your circumstances as well as a suitable venue. Please ask staff for assistance if you are unsure of the process. Students will be fully prepared by their teacher for their next upcoming exam grade. If a student is put forward for an exam before they are fully prepared their grade may suffer and you even run the risk of failing the exam. Exams are NOT an “on-demand” service but they should not be considered a regular event. On average, students tend to progress through exams at the rate of 1 grade per year. This is not a guarantee however, just an average.
Exam Booking Deadlines
Please pay close attention to the exam entry deadline dates and ensure you enter for your next exam successfully. You will need to make payment within the published deadlines as delays may mean you have to wait until the next exam period. Below are some useful links that should help you with the exam booking process. However, we always recommend that you check the latest details on the exam boards own website in case there are any recent updates or changes you need to know about.
Orchestral Instrument Exams
These include Flute, Clarinet, All Saxophones, Oboe and Violin and apply to ALL examining boards. As part of the exam you will be required to use the services of a piano accompanist. You can either organise your own or we can suggest a suitable accompanist. You will need to book the accompanist in advance and there is a separate fee for this service paid directly to them. Additionally, the accompanist will need to attend the exam venue for the day of your exam. Higher Graded Exam Requirements all Boards
In the case of higher grade exams (grades 6, 7 and 8) passing the exam will gain UCAS points for further education. For this reason, grades 6-8 will require the student to present a photo ID to the examiner at the time of the exam.
ABRSM Music Theory
Specific to ABRSM, there is a requirement to pass your grade 5 music theory exam before you can progress to grade 6,7 or 8 practical exams.
Exam Books
All exam boards require you to arrive for your exam with an original piano accompaniment sheet (for orchestral instruments) and/or the chosen pieces to use in the exam. So when buying grade pieces, always choose the version with the instrumental score AND the piano part for your accompanist. Please look after the piano accompaniment sheets as these cannot be purchased separately if they get lost or damaged. Exam Certificates
These will be sent to you in the post usually around 3-4 weeks after the exam period closes. There is one exception to this which is the ABRSM Prep test where the certificate is issued on the day of the exam by the examiner. Should a candidate not achieve the minimum required pass mark, regardless of examining board, a certificate will not be issued but you will receive a mark sheet with examiners comments. With careful student preparation by our teachers, this is unlikely to ever be an issue.
